Această politică explică ce date prelucrează serviciul Șoim (serverul, aplicațiile Șoim pentru iOS și Android și clientul web), de ce, cât timp și ce drepturi aveți.
1. Operatorul
Operatorul datelor este ORFEON, office@orfeon.ro. Responsabilul cu protecția datelor poate fi contactat la privacy@orfeon.ro.
2. Ce este Șoim
Șoim este un serviciu de mesagerie și apeluri, construit pe protocolul deschis Matrix. Conturile sunt create prin invitatie; nu există înregistrare liberă.
3. Ce date prelucrăm
- Date de cont: identificatorul de utilizator (un identificator Matrix, de forma
@nume:server), numele afișat, fotografia de profil și, doar dacă a fost adăugată la crearea contului, o adresă de e-mail. Serviciul nu trimite e-mailuri: o parolă uitată este resetată de un administrator. - Date de autentificare: parola (stocată doar sub formă de hash), sesiunile active și dispozitivele conectate (nume, data ultimei utilizări, adresa IP a ultimei conectări).
- Mesaje și fișiere: în conversațiile criptate cap-la-cap (implicit pentru conversațiile private) serverul stochează doar text cifrat, pe care nu îl poate citi. În camerele necriptate, conținutul este stocat în clar pe serverele operatorului. Fișierele trimise sunt stocate pe serverele operatorului.
- Metadate: apartenența la camere, momentul trimiterii mesajelor, confirmările de citire și starea de „scrie…”. Starea de prezență (online / offline) este dezactivată pe acest server.
- Apeluri: audio și video sunt transmise prin serverul operatorului în timpul apelului și nu sunt înregistrate.
- Notificări push: pentru a vă anunța pe telefon, serverul trimite către Apple (iOS) sau Google (Android) identificatorul de notificare al dispozitivului, identificatorii camerei și ai evenimentului și numărul de mesaje necitite. Conținutul mesajului nu este trimis acestor companii; aplicația îl descarcă de pe serverul nostru.
- Jurnale tehnice: adrese IP, momentul cererilor, tipul aplicației și erorile. Sunt folosite pentru securitate și depanare, nu sunt colectate într-un sistem central și rămân pe mașina care le-a scris până când rotația le suprascrie (de ordinul zilelor). În baza de date, fiecare sesiune păstrează adresa ultimei conectări cât timp sesiunea există.
4. Temeiul prelucrării
Datele de securitate (jurnale, sesiuni) sunt prelucrate în interesul legitim al operatorului de a proteja serviciul.
5. Cine are acces
Datele sunt stocate exclusiv pe echipamentele operatorului. Nu vindem și nu transmitem date terților, cu următoarele excepții necesare funcționării:
- Apple Inc. și Google LLC primesc identificatorul de notificare al dispozitivului, identificatorii camerei și ai evenimentului și numărul de mesaje necitite, pentru livrarea notificărilor push; nu primesc conținutul mesajelor.
- Autoritățile publice, atunci când legea o impune.
Serverul și clientul web sunt configurate fără statistici de utilizare și fără trimiterea rapoartelor de eroare în afara sistemului. Aplicațiile pentru telefon pot include funcții opționale de statistici și de raportare a erorilor.
6. Cât timp păstrăm datele
- Datele de cont: cât timp contul este activ; la dezactivare, contul este blocat și accesul încetează.
- Mesajele: până când sunt șterse de autor sau de un administrator; ștergerea elimină conținutul, iar evenimentul rămâne înregistrat fără conținut.
- Fișierele trimise: cât timp există mesajul care le conține; versiunile șterse mai rămân 30 de zile în sistemul de stocare.
7. Ștergerea contului și a datelor
Puteți cere ștergerea contului scriind la office@orfeon.ro sau cerând acest lucru administratorului. La ștergere dezactivăm contul, îi anulăm sesiunile și ștergem numele afișat, fotografia de profil și adresa de e-mail, dacă există. Mesajele deja trimise altor persoane rămân în conversațiile lor, ca într-o cutie poștală; conținutul lor poate fi șters de autor din aplicație. Datele dispar din copiile de siguranță pe măsură ce acestea expiră, în cel mult 90 de zile.
8. Drepturile dumneavoastră
Aveți dreptul de acces, rectificare, ștergere, restricționare a prelucrării, portabilitate și opoziție, în condițiile Regulamentului (UE) 2016/679. Scrieți la privacy@orfeon.ro; răspundem în cel mult o lună.
9. Securitate
Toate conexiunile sunt criptate (TLS). Conversațiile private sunt criptate cap-la-cap, cu chei care nu părăsesc dispozitivele dumneavoastră; păstrați cheia de recuperare în siguranță, fără ea mesajele criptate nu pot fi recuperate pe un dispozitiv nou. Serviciul nu folosește niciun robot de înregistrare a conversațiilor și nicio păstrare în custodie a cheilor, așa încât administratorii nu pot citi conversațiile criptate cap-la-cap. Accesul administrativ la servere este restricționat.
10. Cookie-uri, stocare locală și statistici
Această secțiune este și pagina la care aplicația trimite pentru politica privind statisticile de utilizare.
- Acest site: pagini statice servite de pe echipamentele operatorului, fără cookie-uri și fără instrumente de analiză a traficului sau de urmărire.
- Clientul web (Șoim Web) păstrează în stocarea locală a browserului sesiunea și cheile de criptare; fără ele nu vă puteți conecta și nu vă puteți citi mesajele criptate.
- Serviciul de autentificare folosește un cookie de sesiune strict necesar conectării; nu este folosit pentru urmărire.
- Aplicațiile Șoim păstrează pe dispozitiv sesiunea, cheile de criptare și o memorie temporară a mesajelor și imaginilor; nu folosesc identificatori de publicitate. Statisticile și rapoartele de eroare opționale: secțiunea 5.
Puteți șterge datele stocate de browser sau de aplicație din setările acestora; veți fi deconectat, iar mesajele criptate vor putea fi recuperate doar cu cheia de recuperare.
11. Modificări
Această politică poate fi actualizată; data ultimei actualizări apare mai sus. Modificările importante sunt anunțate în aplicație.

This policy explains what data the Șoim service (the server, the Șoim apps for iOS and Android, and the web client) processes, why, for how long, and what your rights are.
1. The controller
The data controller is ORFEON, office@orfeon.ro. The data protection officer can be reached at privacy@orfeon.ro.
2. What Șoim is
Șoim is a messaging and calling service built on the open Matrix protocol, hosted and run by the controller on its own equipment in Romania. Accounts are created by the controller; there is no open registration, and the server does not talk to other Matrix servers.
3. What we process
- Account data: your user identifier (a Matrix ID, of the form
@name:server), display name, profile picture, and an e-mail address only if one was added when the account was created. The service sends no e-mail: a forgotten password is reset by an administrator. - Authentication data: your password (stored only as a hash), active sessions and signed-in devices (name, last use, IP address of the last sign-in).
- Messages and files: in end-to-end encrypted conversations (the default for private conversations) the server stores ciphertext it cannot read. In unencrypted rooms the content is stored in clear on the controller's servers. Files you send are stored on the controller's servers.
- Metadata: room membership, message timestamps, read receipts and typing indicators. Presence (online / offline status) is turned off on this server.
- Calls: audio and video pass through the controller's server during the call and are not recorded.
- Push notifications: to alert your phone, the server sends Apple (iOS) or Google (Android) your device's notification token, the room and event identifiers, and the unread count. The message content is not sent to them; the app fetches it from our server.
- Technical logs: IP addresses, request times, client type and errors. Used for security and troubleshooting, they are not collected into any central system and stay on the machine that wrote them until rotation overwrites them (a matter of days). In the database, each session keeps the address of its last sign-in for as long as the session exists.
4. Legal basis
Security data (logs, sessions) is processed in the controller's legitimate interest in protecting the service.
5. Who has access
The data is stored only on the controller's equipment. We do not sell or pass data to third parties, with these exceptions needed to run the service:
- Apple Inc. and Google LLC receive your device's notification token, the room and event identifiers and the unread count, to deliver push notifications; they do not receive message content.
- Public authorities, where the law requires it.
The server and the web client are configured without usage statistics and without sending error reports outside the system. The phone apps may include optional usage statistics and crash reporting.
6. How long we keep it
- Account data: while the account is active; on deactivation the account is locked and access ends.
- Messages: until deleted by their author or an administrator; deletion removes the content, and the event remains recorded without it.
- Files you send: as long as the message holding them exists; deleted versions stay a further 30 days in the storage system.
7. Deleting your account and your data
You can ask for your account to be deleted by writing to office@orfeon.ro or by asking your administrator. On deletion we deactivate the account, end its sessions, and remove the display name, the profile picture and the e-mail address if there is one. Messages you already sent to other people remain in their conversations, as a letter does in its recipient's postbox; their content can be deleted by their author from the app. The data disappears from the backups as those expire, within 90 days at most.
8. Your rights
You have the rights of access, rectification, erasure, restriction, portability and objection under Regulation (EU) 2016/679. Write to privacy@orfeon.ro; we answer within a month.
9. Security
Every connection is encrypted (TLS). Private conversations are end-to-end encrypted with keys that never leave your devices; keep your recovery key safe, without it encrypted messages cannot be recovered on a new device. The service runs no conversation-recording bot and no key escrow, so administrators cannot read end-to-end encrypted conversations. Administrative access to the servers is restricted.
10. Cookies, local storage and analytics
This section is also the page the app points to for its analytics policy.
- This site: static pages served from the controller's equipment, with no cookies and no analytics or tracking tools. The one thing they remember is the language you pick with the RO / EN switch, in your browser's local storage; it is sent nowhere.
- The web client (Șoim Web) keeps your session and your encryption keys in the browser's local storage; without them you cannot sign in or read your encrypted messages. It is configured without usage statistics and without sending error reports outside the system.
- The sign-in service uses one session cookie strictly necessary for signing in; it is not used for tracking.
- The Șoim apps keep your session, your encryption keys and a temporary cache of messages and images on the device; they use no advertising identifiers. Optional statistics and crash reports: section 5.
You can clear the data the browser or the app stores from their settings; you will be signed out, and encrypted messages can then be recovered only with your recovery key.

This policy may be updated; the date of the last update is shown above. Significant changes are announced in the app.
